Event Coordinator

Position Summary

 

Des-Case is looking for an Event Coordinator with at least two years' experience managing B2B conferences. This candidate will handle events from start to finish, leading a dedicated in-house team and external contractors. As the primary point of contact for our B2B events, the coordinator will primarily work with distributors, sales and marketing teams, and conference exhibitors. Our ideal candidate holds a bachelor's degree in hospitality management, has successfully worked on events with 500+ attendees, and has a great deal of self-sufficiency in accomplishing their duties.

Job Responsibilities

  • Maintain a working relationship with vendors, venues, exhibitors and stakeholders during event planning
  • Understand the complex needs of different events, and diverse customers
  • Coordinate event entertainment, including music, performers, and guest speakers
  • Attentive to the value of staying under budget while planning event specifications
  • Manage and oversee events from start to completion, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organizing vendors, and managing tear-down
  • Communicate with customer-facing teams to create effective advertisements for each event
  • Create and distribute event listing pages on social media websites
  • Establish standardized event procedures and train staff into properly executing them
  • Track event key performance areas and identify items to work on for future events

  • Strong communication skills, and the ability to present event ideas and plans to team members and vendors
  • Ability to effectively prioritize and execute tasks conforming to shifting priorities, demands and timelines
  • Strong analytical and problem-solving skills
  • Ability to coordinate several projects simultaneously
  • Ability to work directly with clients in a responsible, appropriate and service-oriented way
  • Strong written and oral communication skills
  • Strong interpersonal skills and a high degree of responsibility, initiative, and professionals
  • Ability to adapt to crisis situations, changing procedures, methods or processes coordination, sponsorship fulfillment, and project management
  • Able to work both independently and in a team-oriented, collaborative environment
  • Bachelor's Degree in Fine Art Design, Marketing or related discipline
